Accounts Payable Workshops
The Accounts Payable workshops are designed to provide general information about the USC check-writing process and include discussions on various topics related to common USC procedures and other governmental requirements. The discussion topics have been divided into the following two sessions:
Accounts Payable I
- The University check-writing process and weekly cut-off times
- Online methods to review payment information, including availability of scanned images of paid invoices
- End-users' responsibilities related to receiving goods or services
- Procedures used by Accounts Payable to address price discrepancies on invoices
- Procedures for deducting late payment penalties or other hidden fees sometimes charged by vendors
- Avoiding duplicate payments and other hints in dealing with USC vendors
Accounts Payable II
- Guidelines to determine the appropriate procedures to use for payments to individuals, such as presenter fees, honorariums, or independent contractors
- Special documentations required for payments to internationals
- IRS laws governing moving expense reimbursements
- Sales and Use tax laws and how to save department funds
- Petty Cash Reimbursements versus Cash Advances
- Use of an IIT versus a Journal Entry
- Other employee reimbursements and related topics
Who Should Attend
This training is necessary for anyone who authorizes payment of financial transactions, such as invoices, IIT's, or RQ's.

Accounts Payable I
November 4, 2008, 9:45 a.m.–noon
April 30, 2009, 9:45 a.m.–noon
Participants should arrive to sign-in at 9:45 a.m. Instruction will begin at 10 a.m.
Accounts Payable II
November 4, 2008, 1:15–4:30 p.m.
April 30, 2009, 1:15–4:30 p.m.
Participants should arrive to sign-in at 1:15 p.m. Instruction will begin at 1:30 p.m.
Cost
There is no charge for these workshops.
Location and Parking
1600 Hampton Street, Suite 101.
Campus parking is available with any faculty/staff decal in the lower lot behind the 1600 Hampton Street Annex. The entrance to the parking lot is between the 1600 Hampton Street tower and the WACH-57 building on Pickens Street.
